DEFINITIONS

Personal Data Any information relating to an identified or identifiable person (data subject), such as name, identification number, location data, e-mail address etc.


Processing Any operation or set of operations which is performed on personal data, either by automated means or performed by an individual, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.


Data Subjects (or Individual) the person whose personal data is being processed.


Third Parties Any organisation or individual external to ECL who may process personal data on our behalf in accordance with our instructions. These third parties include service providers that provide support on activities, particularly in terms of communication, event management and web hosting, as well as consultants, for the purpose of performance of their service contracts with ECL.

Introduction

ECL is committed to processing data in accordance with its responsibilities under the General Data Protection Regulation EU 2016/679 (GDPR).  This privacy policy is based on a template made available on the EU’s GDPR website and explains how ECL uses the personal data we collect from you when you use our website.

When you visit our website, ECL collects the following data:

  1. Your Internet Protocol (IP) address, and details of which version of web browser you used
  2. Information on how you use the site, using cookies and web access logs
  3. Google Analytics

We use the above data to improve the site by monitoring how you use it, and gather feedback to improve our services.

When you register for an event, sign up for our newsletter, or contact us using an online form, ECL gathers data that may include the following:

Personal identification information (Name, Organisation, Function, Address, Email Address, phone number, websites, links with the tobacco industry, confirmation that you are not a minor, etc.)

We only use personal information that you provide to us for the purpose stated at the time we request it. We do not disclose this information to a third party unless you authorise it or as otherwise permitted by the GDPR.

  • How do we collect your data?

You directly provide ECL with most of the data we collect. We collect data and process data when you:

  1. Register online or place an order for any of our products or services.
  2. Voluntarily contact us using the online contact form.
  3. Use or view our website via your browser’s cookies.

  1. ECL processes your registration data for attending events organised by us or collaborator(s) who will be clearly stated on the registration forms.
  2. ECL will email you to inform on future relevant events, or information we believe would be of interest the cancer control community.

  • How do we store your data?

ECL securely stores your data at our password-secured server at the main office of ECL, Chaussee de Louvain 479, Brussels, Belgium.

The time period that ECL will keep your data depends on the purpose.  For example, if you have registered for an event, it will depend on the type of events you have registered for, for the purpose of informing you on future similar events or relevant information. The duration for these general contact information can vary, up to 10 years or more.

  • Communication and marketing

ECL may send you information that would be of interest to the cancer control community.  You have the right to refuse these communications at any time by contacting ECL@europeancancerleagues.org.

  • What are your data protection rights?

Conforming with the GDPR, ECL would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request ECL for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that ECL corrects any information you believe is inaccurate. You also have the right to request ECL to complete information you believe is incomplete.

The right to erasure – You have the right to request that ECL erases your personal data, under certain conditions.

The right to restrict processing – You have the right to request that ECL restricts the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to ECL’s processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that ECL transfers the data that we have collected to another organization, or directly to you, under certain conditions.
